Inspections (fire extinguishers example)

Every business is required to confirm their fire extinguishers are fully operational. For portable extinguishers many states adhere to a monthly inspection required by NFPA 10.

Some businesses pay outside firms to perform these inspections. Other companies save money by having their own workers or security guards perform the inspections.

While saving money, the problem with doing it themselves is that those businesses may not have the systems to record and document those inspections.

Setup of the Inspection Protocol

  • The first step is to define all the potential inspection results. Commonly these are grouped to include one satisfactory result and multiple unsatisfactory results. If there are unsatisfactory results, this permits management to take specific, corrective action.

Reports

The Chronological Report shows:

  • Every fire extinguisher inspected.
  • Who performed the inspection.
  • When the inspection was performed.
  • Where the inspection was performed.

The Exception Report shows:

  • Just the fire extinguishers with unsatisfactory results (If a business has hundreds of extinguishers, you want to focus on those that need corrective action).

The Location Report shows:

  • How many times each fire extinguisher was inspected during a given time period – including the observations that were made for each one.
  • If you are performing multiple actions (security and inspections) you can easily separate the two or more functions and get separate reports for each function.
